We do accept credit card payments (Visa and MasterCard). You can pay in installments but there is an interest penalty charge. If paying by check, you must send us post–dated checks prior to us shipping you the software.

Absolutely! EAP Expert Inc. has converted many databases (MS Access, SQL Server etc.). We require you to send us your database to determine how long the conversion process will take. To date, there hasn't been a database we couldn't convert.

Yes, you can book your free demo by e-mailing a Sales Representative at or by calling 905-702-1380 ext. 202. The demo takes approximately 1½ to 2 hours depending on the number of questions you have. We guarantee you will be amazed as you sit back and watch your monitor while we demonstrate the functionality of our software!

Yes and no. There isn't a module that you can click on called "Accounting". However, we do track all your receivables and payables in both versions. We have reports you can run between FROM and TO dates that show both AR/AP. We even have an export program for QuickBooks if that's your accounting package of choice

Without a doubt, EAP Expert is the most customizable EAP software on the market today. ALL fields (e.g. Presenting Problems, Contact Types, and Assessed Problems) can be customized! In addition, users can create their own forms, additional fields and surveys all within EAP Expert!

When we started our software, we built the LITE version first. We then started adding additional functionality to the LITE and the FULL and Enterprise versions were born! The key differences are that the FULL version comes with the following extra modules and features:

  • Multi-Office/Multi Counselor Scheduling System (with back-to-back conflict checker)
  • Spell Check and Rich Text Formatting for case notes
  • Provider Payables/Data entry Screen
  • Flagged Messages (alerts intake of high-risk callers)
  • Feedback Module (tracks client complaints and praises)
  • Marketing Module

Very flexible. You can set-up each of your companies for groups differently if you wish. It all depends on either what they need or what you want to provide to them. Each company can have their own demographics specific to them! Once you set the company up for their first report, you save the profile so that the next time you run a report for that company, EAP Expert remembers your settings! Report headings, fonts, colors, charts and content can all be customized! In addition, create and save your own report Templates to be applied to any organization or group for internal or external reporting. The report can be exported to MS WORD, MS EXCEL and PDF as well as many other formats. Take advantage of our Batch Reporting feature and have EAP Expert run all of your reports due automatically for any given period. We have even added an ROI (Return on Investment) summary at the end of the report so that you can present it to your customers to justify the cost and value of their program! The report is built on many years of EAP experience and is truly remarkable. The bottom line is the report has been designed to make YOU look good in terms of the services, hours, events and CISDs you are delivering to your customers. This seems to be the biggest problem for EAPs - justifying the cost of the program based on one utilization report! We train your staff on the importance of telling the WHOLE story. Do you track all your management consultations? Do you report them back to your customers? This is just one item that is frequently missed by a lot of EAP companies. Your customers need to know all the work that goes into delivering a quality EAP - and EAP Expert will help you do just that!

EAP Expert Inc. started developing software in 1995. Our version 1.0 was launched in 1997 - the same year the company was incorporated.

We have over 300 EAPs using our software in the US, Canada, UK, Australia, South Africa, and Bermuda.

We have 7 full-time employees. Four of our employees are programmers. We have over 50 years of combined experience in the field. Remember, we are "EAP" people first, Software Developers second!

Absolutely. Both versions use the exact same database. All you need is a FULL version program, which we can send to you. There is a cost to upgrade obviously, plus a small administrative fee.

Yes. We can show you how to customize the program yourself or if you prefer to have your program hard-coded the way you want it, we can provide you with a quote.

This all depends on what needs to get done prior to going live-and this varies from company to company. Data conversion needs to take place and tested. Training all staff on how to use the software as well as roles and responsibilities for each user must be determined. Customizing all your fields prior to going live is important. We offer a "Go-Live or Go Home" document to assist EAPs in managing their rollout.

Our tech support is optional although highly recommended. There are three options to choose from:

  • Monthly: Credit card only – We accept Visa and MasterCard (minimum 1 Year)
  • One Year: Cost is 18% of what software costs
  • Two Years: Cost is 16% of software costs for each of the two years, paid in advance

Both versions come bundled with over 100 reports! Our report engine is Crystal Reports 8.5, so if you own a copy of this software, you can add or modify your own reports! We also do customized reports for our customers upon request.

We have two ways to train your users. We offer Telephone training whereby you would set-up a time to call our trainer. Telephone training sessions are usually 1-2 hours in length and may span over 2-3 training sessions. Our other option is In-person training in which a trainer will travel to your location and train your staff - One day for our LITE version, Two days for our FULL version.

EAP Expert and EAP Expert LITE were designed to run optimally under a minimum resolution of 1024x768 and small fonts. If you try running our software with a resolution of 800x600 and large fonts, the software won’t look right and some buttons will not be visible.

1) Application minimum desktop hardware requirements:

The minimum recommended hardware requirements are:
  • PC with 2 GHz or higher processor
  • 2GB Memory (RAM)

2) Application minimum server hardware requirements:

The minimum recommended hardware requirements for ~20 users are:
  • Dual Core, Dual Xeon Processors
  • 3GB of Memory per user
  • 2GB of Hard Disk space

3) Application operating system requirements:

The minimum recommended software requirements are:
  • Windows 7 or Higher
  • Microsoft .Net 4.5 Framework

4) Application database requirements:

The minimum recommended software requirements are:
  • Windows 2008 Server or Higher
  • Microsoft SQL Server 2008, SQL Server Express, or Higher

5) Citrix Server:

  • Dual Core, Dual Xeon Processors
  • 1.5GB of Memory per user
  • 2GB of Hard Disk space

If the Citrix Server also houses SQL server then 10GB of hard disk space is recommended.
